Minimum Criteria to Be Considered for Inbox Zero Talent Pool To ensure the highest level of performance and reliability, Inbox Zero maintains rigorous standards for entry into our VA talent pool. All candidates must meet the following minimum qualifications before they are considered for placement with our client partners:

Professional Experience:

Minimum of 3 years of verifiable experience in a relevant administrative, clinical support, or customer service role within the healthcare industry.
»

Prior work in private practice settings, medical billing/revenue cycle companies,
or virtual healthcare admin preferred.

Career Milestones:

»

Demonstrated track record of managing 40–70+ tasks per day with accuracy
»

Prior performance metrics showing high productivity and dependability
»

History of contributing to measurable outcomes (e.g., improving claims success
rate, reducing appointment no-shows, accelerating recruitment pipelines)

Technical & Communication Skills:

»

Fluent in English (written and verbal), with neutral or clear accent
»

Proficient with EMR/EHR systems (e.g., WebPT, SimplePractice, Kareo, Athena, etc.)
»

Experienced in using communication tools like Slack, Zoom, and Google Workspace
»

Familiar with HIPAA compliance and U.S. healthcare documentation standard

Cultural & Mission Alignment:

Strong sense of ownership, proactive problem-solving mindset, and a “can-do”
attitude
»

Demonstrated history of being a positive contributor to team culture
»

Willingness to participate in ongoing coaching, feedback, and development

Training & Vetting Process:

»

Completion of Inbox Zero’s internal VA Certification Program, including task
simulations and role-based assessments
»

Interview with a U.S.-based account manager for cultural and task compatibility
»

Reference and background checks from previous healthcare employers
»

Ongoing performance evaluations and quarterly upskilling sessions

Only after meeting these criteria and passing our internal onboarding processes are VAs added to our active placement list.
